Nomad Notes – Travel Planning Agreement

 

1. Introduction

This Travel Planning Agreement (“Agreement”) outlines the terms under which Nomad Notes (“Planner,” “we,” “our”) provides travel planning and itinerary services to the client (“Client”).

2. Scope of Services

Nomad Notes may provide:

  • Itinerary design

  • Travel research

  • Vendor communication

  • Booking assistance

  • Trip coordination

  • Destination guidance

Some services may involve third‑party vendors (“Vendors”).

3. Payment Terms

  • Fees are disclosed prior to booking.

  • Payment must be made in full before services are delivered.

  • Coordination fees are non‑refundable.

  • Vendor payments are subject to Vendor policies.

4. Client Responsibilities

Client agrees to:

  • Provide accurate traveler information

  • Review all itineraries and confirmations

  • Respond promptly to communication

  • Comply with Vendor policies

  • Verify passport, visa, and travel documentation requirements

Nomad Notes is not responsible for delays or issues caused by inaccurate client information.

5. Vendor Policies

All travel bookings are subject to Vendor terms, including:

  • Cancellation rules

  • Refund policies

  • Pricing changes

  • Availability

  • Travel restrictions

Client is responsible for reviewing Vendor policies before approval.

6. Liability Limitations

Nomad Notes is not liable for:

  • Travel delays

  • Weather events

  • Vendor cancellations

  • Pricing changes

  • Acts of nature

  • Government restrictions

  • Lost or stolen items

Our liability is limited to the amount paid directly to Nomad Notes for planning services.

7. Cancellations & Refunds

  • Nomad Notes fees are non‑refundable.

  • Vendor refunds depend solely on Vendor policies.

  • If a Vendor cancels, Nomad Notes will assist with communication but is not responsible for reimbursement.

8. Governing Law

This Agreement is governed by the laws of the State of Texas.

9. Host Agency Affiliation

Client acknowledges that Nomad Notes provides travel planning services as an independent advisor affiliated with Fora Travel, Inc. (“Fora”). Travel bookings may be facilitated through Fora’s booking system, and certain payments may be processed by Fora or by Vendors directly. Nomad Notes’ role is advisory and coordinative; Fora serves as the host agency supporting booking fulfillment. All Vendor and Fora policies apply to travel bookings.
